General

Abstracts can only be submitted online via the Online Abstract Submission SYstem: OASYS.

Abstracts sent by post or email will be not accepted. No exceptions will be made.
An abstract can be submitted to the ESAO 2009 Meeting if it has not been published previously or
only presented at a national meeting.


Recommendations for abstract submission

Failure to observe these guidelines may result in disqualification. All these steps may be completed
within several minutes.

Authors are required to use the template document for the writing of their paper.

1/ Before submission, the contact author needs to create an account on the OASYS
requesting:

  • Login
  • Password
  • Family name
  • First name
  • E-mail address

The contact author will receive a confirmation e-mail with a reminder of his password for future
log in.

2/ Fill in the user registration form in which additional information is asked for.

3/ Identify your abstract. The abstract identification is divided into 2 steps. You will first have to fill in its title and check off the type of presentation you wish (oral communication, poster or either type) and the topics that are related to the content of your abstract. In a second step, you have to add one or more co-authors if necessary. If you are not the presenting author, the speaker should be added as a co-author while completing this step.

4/ Submit your abstract. You will proceed to the uploading of your files with and without author and co-authors’ names. Blind reviews will be performed on the second file.

5/ The abstract should NOT exceed 2300 strokes (including spaces). A template can be downloaded from the paper submission page.

  • The font size is 7 and the preferred font is Arial.
  • The text must be single spaced.
  • The title must be short and in CAPITALS.
  • Family name of the Authors must be preceded by the initials. Underline the name of the presenting Author.
  • Indicate institution, city and country.
  • Leave one blank line before the main text.
  • Body of the text describing Purpose, Materials and Methods, Results and Conclusions.
  • No references should be included.
  • Simple tables are acceptable within the box but are ranked among the space of 2300 strokes.
6/ Abstracts must contain data and meet international ethical standards. Abbreviations should be defined. Trade names cannot be mentioned in the title. However, trade names in brackets will be accepted in the body of the text.

7/ Please ensure that your abstract does not contain spelling, grammatical or scientific errors. No corrections are possible after the submission deadline. The abstract will be reproduced exactly as submitted. No proofreading will be done.

8/ Submitted abstracts can be re-edited and modified until the submission deadline (1st April 2009, Midnight CET).

9/ If you have successfully submitted your abstract, you will receive a confirmation email. If no confirmation is received, the abstract cannot be considered as successfully submitted and accepted by the system.

10/ If you need to withdraw your abstract, a written statement reflecting the reasons for this decision must be sent to scientific.esao2009@utc.fr, no later than 30 April 2009.


After the submission

1/ The reviewers will judge the abstracts according to the relevance of the topic of the ESAO 2009 meeting, standard of English, description of the work done, scientific value, originality of work and overall impression.

2/ The contact authors will be notified by May 15, 2009, at the email address provided during submission, whether their abstract has been accepted. It is the author’s responsibility to ensure that emails from ESAO reach them. They will be informed at the same time about the date, time and form of their presentation.


Publication policy

All abstracts accepted for presentation (oral or poster) will be published in a regular issue of the International Journal of Artificial Organs, official journal of the ESAO. Authors (lectures, Symposia, Free Communications and Posters) are encouraged to submit the complete manuscript of their presentation to the International Journal of Artificial Organs. A publication desk from Wichtig Editore will be located in the exhibition area.


Communication

1/ Abstracts can be accepted either as poster, or oral communication.

2/ If your abstract is accepted as a poster, you will be requested to be available for discussion during the corresponding moderated poster viewing session.

3/ Details on poster format will follow with the acceptation letter. Pins and adhesive material will be provided.

4/ Please use letters large enough to be read from a distance of 1.5 meters (4.9 feet).

5/ Oral presentations will be allocated 10 minutes each plus 5 minutes discussion time. Only PowerPoint data projection with single screens will be available in all session rooms. A slide centre will be available and each presenter is required to hand in his presentation minimum 2 hours before his session. No personal computers will be allowed. Files must be prepared on Powerpoint 2000/2003 on a CD-Rom or USB stick.

6/ Full presentation guidelines will be included in the acceptance letter and posted on the congress website.
