For a good use of the software, please connect to Zoom using the Google Chrome browser. Then, enter your first and last name as your ZOOM username. A tutorial explaining how to rename yourself is available.
Please note that all participants are automatically muted when they join the meeting. To ask a question during the Q&A session, simply raise your hand in ZOOM (click here to find out how) and then wait for the moderator to ask you to activate your microphone so that you can ask your question. If you are having technical problems, please use the instant messenger ("chat" button) so that the technical team can help you.
Please choose the audio channel corresponding to the language of your choice. A button called "Simultaneous translation" will be available in the menu at the bottom of your ZOOM window. Just click on it and choose the language. Two options are available: Spanish and French. A tutorial is available to explain how to use interpretation in ZOOM. Downloading the ZOOM application is required in order to access the interpretation service (not available from the browser). Please download the application before the conference and make sure you have the latest update.
We recommend that you, as a speaker, keep your laptop charger plugged in and get headphones with a microphone. This is also recommended when you want to ask a question to ensure that the audience can hear you clearly.
The best angle to capture your face is at eye level or a little higher. If necessary, add a few pounds under your computer to reach the appropriate height. You should get close to the camera, but not too close. The camera should focus on your face, neck and shoulders. You should also stand in the centre of the frame.
If you share your internet connection with other people in your home, please ask them if they can limit their data consumption during your speech. Also, make sure the audience is not looking at a blurry or pixelated image.
Make sure you are in a quiet environment: close the windows, check the acoustics of the room you are in and make sure there is no background noise, barking dogs, etc.
Please avoid any distracting objects around you that you might be tempted to play with or touch while talking to the audience, such as keys.
Ideally, light your face and darken the space behind you: the light source should be in front of you. Natural light is strongly recommended.
Please take care of your background if you are at home and make sure you minimise distractions for your audience. You can also use a virtual background in the conference colours which you can download here. A tutorial is available on how to change your virtual background.
